Online registration opens on June 18, 2023, and ends September 13, 2023, with regular and late fee periods as noted in "Event Fee Details.” It is your responsibility to be aware of fee period deadlines, as no reminders will be sent. The event schedule is subject to change in order to ensure balance.
All events will be capped and entry is on a first-come first-served basis – no exceptions. Caps may be adjusted depending on registrations in each event and to ensure a daily balanced schedule. Once the event cap has been reached fencers will be placed on a wait list. Wait lists will also be cleared on a first-come first-served basis. Waitlisted fencers may inquire in-person at the BC on tournament day and may enter if available slots due to no-shows, and available spots will be filled according to original position on waitlist. Fencers not on waitlist may also inquire in person and may enter if slots available, however only after any waitlisted fencers present have been accommodated.
Important Wait List Info
Fencer must supply a payment method to officially join the wait list and be eligible for graduation into the event. When you officially join the wait list you will receive an e-mail noting your position. Wait-listed entry without payment method is considered pending and your position will drop below any completed wait listed entries. It is your responsibility to ensure you have a viable payment method. Expired cards or cards with insufficient funds cannot be processed and should this be the case you cannot be advanced off the waitlist to official entry. If you join the wait list during regular fee period you will be charged regular fee, if during late period will be charged late fee. Your card is not charged until you are moved off the wait list and into the tournament. If you no longer wish to be waitlisted you should remove yourself from the list, or notify us immediately, othewise the assumption is you wish to remain on the waitlist.

On tournament day all fencers must enter through the Sherman Ave doors. Lines to enter the venue will be very long at times, as building security requires everyone to pass through metal detectors and submit to bag search. Please plan your travel accordingly. All bags must be stored in the upper mezzanine, or in outer hallway against the walls. All spectators must remain in the upper mezzanine or in the bleachers. Only credentialed coaches will be allowed on the fencing floor. Coaches credentials are available at the Bout Committee.

Spectators
Each fencer is allowed one (1) person to accompany them, which does not include their coach. All spectators must remain in the upper mezzanine or in the bleachers. To receive a coaching credential coaches must be SafeSport compliant (i.e. have a current NCSI background screen and have completed the required online SafeSport training).
Covid Guidelines
We encourage everyone to practice general infectious diseases guidelines. At this time there is no proof of vaccination or testing required and wearing of masks is optional. If any circumstances arise that would preclude safe running of this event, this tournament can be cancelled at any time. Should tournament cancel, any refund of fees is subject to USA Fencing. All fencers and spectators should:
• Self-monitor and be symptom-free for at least 14 days prior to tournament. Stay home if you have had close sustained contact in last 14 days with anyone who was sick or known or believed to have COVID-19. Stay home if you are sick or do not feel well.
• Wash and sanitize all your fencing equipment. Consult the manufacturer for proper cleaning instructions to avoid possible damage to equipment.
• Practice social distancing.
• Refrain from contacting other participants and attendees (handshakes, body contact, etc.)
• Cover your mouth and nose with a tissue or your elbow if you cough or sneeze.
• Avoid touching your face, eyes or mouth with unclean hands.
• Do not share equipment such as weapons, body cords, fencing masks, gloves or uniforms, with others.
Check-in
Valid USA Fencing membership card with clearly readable bar code is required for contactless check-in. Cards can be printed or downloaded to your phone from your USA Fencing membership profile page.
Bag Storage
All bags must be stored in the upper mezzanine or in outer hallway against the walls. We advise against bringing valuables to the venue, but if brought do not leave any valuables unattended. Candlewood Fencing Center and Floyd Little Athletic Center are not responsible for any lost/stolen property. Bags look alike so be sure you have all your belongings when exiting the venue. Any items left behind after the tournament will be disposed of.
Live Results
Tournament info (pools, DE, strip assignments, results etc) can only be accessed at fencingtimelive.com. Announcements will also be made over the loudspeaker. There will be no paper postings or video monitors at the venue.

FOOD
Concession will be open with food, drinks, and snacks available for purchase, however selection is limited. There is a water fill station in the hallway. We encourage you to bring your own water/drinks.

EQUIPMENT CHECK
Early equipment check will be available Friday from 4-6:30 pm. There will be full equipment check. Armory opens at 6:30 each morning. The line may be prioritized in order of event start times so we ask your cooperation. Blue Gauntlet Fencing Gear will be on-site for equipment purchases and repairs (for fee).
Refer to the Athlete's Handbook, Section 2.17, for equipment requirements for domestic tournaments. To help the line move quickly, do the following:
• Do not bring your fencing bag into the line; it is a tripping hazard.
• Make sure mask, glove, and lame do not have tears or holes. You may not repair your equipment with tape.
• Lames need to be right-side-out and zipped. Armorer will not zip it up, and may refuse to check it if it arrives at their table unzipped.
• Separate cords from each other. If you present a clump of body cords all together it takes a long time to untangle them. Take off all previous inspection tapes from body cords and mask cords.
• When called to the armorer desk take everything out of your mask, and place your equipment on the armorer's table.
REGULAR fee registration/payment deadline: September 8, 2023: $40 registration fee plus $55/event, plus applicable USA Fencing Administration fees
LATE ENTRY (TRIPLE fee) registration/payment period: (September 9-13, 2023): $120 registration fee plus $165/event, plus applicable USA Fencing Administration fees
NO GENERAL WALK-IN ENTRY In-person inquiries however can be made at the Bout Committee on tournament day, and walk-in entry (at late fee) allowed only if there is space available and only after any waitlisted fencers present have been accommodated.
REFUND POLICY
Tournament registration fee and USA Fencing administration fees are nonrefundable.
Must send notification of withdrawal and request for refund to cherylfencing@gmail.com. FENCERS WHO WITHDRAW THEMSELVES WILL NOT BE ELIGIBLE FOR A REFUND. Requests for event fees refunds will only be honored if received prior to midnight on September 16, 2023. The only exception to this policy will be if there are waitlists, and refund will be issued if your slot can be filled from the waitlist and notice of your cancellation is received no later than September 20, 2023. There will be no other exceptions to this policy, no refunds issued after these dates for any reason, including illness/injury. USA Fencing will issue refund to credit card used for the registration.
All close of check-in times are subject to change to ensure a balanced daily schedule. Refunds will not be issued due to event time changes on the same day, so we strongly encourage you keep your entire day flexible until final close-of check-in times are posted. Any time changes will be posted no later than September 11. Verify your event time prior to traveling to the tournament. On tournament day, fencers arriving after close of check-in will not be permitted to compete and will be withdrawn from the competition, and there will be no refund of entry fees. There are no refunds for no-shows for any reason, including illness/injury.
